Goods Return Note automation for Odoo: what a GRN is and why it eats your sales admin's week
What a Goods Return Note contains, why FMCG retailers send them as PDFs, and how to process them in Odoo without re-keying every line.
A Goods Return Note is the document a retailer issues when it sends stock back to a supplier. In FMCG distribution it is the most frequent piece of paperwork after the purchase order: near-expiry stock, damaged cases, delisted lines and over-deliveries all come back on a GRN.
What is on a GRN
- A return note number, which the retailer will quote when it deducts the value from your next payment.
- The store or distribution centre returning the goods.
- One line per product: barcode, description, quantity, unit price and often a reason code.
- A total that the retailer expects to see on your credit note.
Why they arrive as PDFs
Large retailers generate return notes from their own ERP and export them as PDF, sometimes as a scanned copy signed at the dock. There is no EDI feed for a mid-sized distributor. The PDF is the interface, and every retailer's PDF is laid out differently.
What it costs
A distributor handling five key accounts commonly receives 30 to 80 return notes a week. At ten minutes each, that is one to two working days of a sales administrator's week spent typing barcodes into Odoo. The hidden cost is worse: every typo becomes a credit note dispute, and a disputed credit note delays the retailer's payment run.
How to process a GRN in Odoo properly
- Book the return against the retailer as a return sales order or a reverse transfer so stock comes back into a quarantine or returns location.
- Reference the GRN number on the Odoo document so finance can match the retailer's deduction.
- Issue a credit note for the exact value on the GRN, line by line.
- Keep the original PDF linked to the Odoo record for audit.
Automating it
Odoomation's PDF Returns add-on does the four steps above from the PDF. A template per retailer reads the lines, barcodes are matched against your Odoo products, duplicates are caught, and after your review the return order, transfer and credit note are created in Odoo with one click. Templates for new retailers are built from a sample you send, usually within three working days.
