Odoo for FMCG distributors: the retailer paperwork nobody automates

29 September 2026 · 5 min read · Odoomation

Odoo covers sales, stock and invoicing well for FMCG distributors. The gap is the retailer-generated documents: return notes, price circulars and promo claims.

Odoo is a good fit for FMCG distribution. Sales orders, van and route deliveries, lot and expiry tracking, multi-warehouse stock and customer invoicing are all standard. What Odoo does not cover is the paperwork your customers generate and send to you, because every retailer produces it in its own format.

Three documents, three weekly headaches

  • Return notes: stock coming back from stores and distribution centres, each needing a return order and a credit note.
  • Price circulars: the retailer's announcement of new shelf prices or cost-price changes effective on a date, which must be reflected in Odoo pricelists before the next order.
  • Promotional claims: statements deducting promo funding and display fees from your payment, which have to be reconciled against the invoices and promotions they reference.

None of these documents originate in Odoo, so none can be automated with Odoo's own tools. They get re-typed. In a distributor with a handful of key accounts this is one or two full-time roles doing data entry.

Why generic OCR does not solve it

General document capture tools extract text, but a return note is a table with barcodes that must be matched against your product catalogue, checked for duplicates and turned into a specific Odoo document with specific options. The extraction is the easy part. The Odoo part is where the time and the mistakes are.

What good looks like

  1. A template per retailer, so the tool reads the layout reliably instead of guessing.
  2. Live matching against Odoo, with a human decision only for ambiguous lines.
  3. A review screen before anything is written to Odoo.
  4. Configurable depth: draft only, or confirmed with stock received and credit note drafted.
  5. An audit trail linking the source PDF to the Odoo record.

Odoomation is built as a set of add-ons that follow those five rules, one per document type, on a single subscription. PDF Returns is available today; price sync and promo claims are in development with the same distributors who use returns.
